How Waitlists work
A waitlist is a system for Community sessions that activates automatically when a session becomes fully booked. Additional attendees who have not booked can join a fully booked session 3 minutes after its start if spots become available.
When the session starts, the host will receive notifications in the Waitlist panel with a list of users interested in joining. The host doesn’t have to do anything; the people on the Waitlist will be admitted automatically.
After 3 minutes, those in the Waiting room will be automatically admitted to the session. You won't need to do anything for the Waitlisted members to join.
Members who have booked but have not arrived will lose priority in joining the session and will only be admitted to the session if there is capacity.
Notes
Booked attendees who enter and leave a session within the first 3 minutes can rejoin without needing to join the Waitlist. However, if a waitlisted member is admitted during this time and a booked attendee re-enters, the session may exceed its capacity.
You can manually admit all users If you have selected the Waiting rooms feature (see below for more information)
For Attendees
If you try to join a fully booked session, you will see a notification confirming that you’ve been added to the Waitlist.
If a session spot becomes available after 3 minutes, you will be automatically admitted to the session.
You won't be admitted if no spots open up, but you can look for and book another session instead.
What is a Waiting room?
A Waiting room is a system that allows the session host to completely control who can join the session, regardless of whether attendees have pre-booked. Waiting rooms are available as a feature only for custom-created sessions and can be added in the guest permissions section of the custom session builder.
How It Works
The Waiting room is active from the start of the session, whether the session is fully booked or not. All attendees, whether pre-booked or not, are placed in the Waiting room when they arrive. The host is responsible for manually admitting them into the session.
How to Use the Waiting Room
Start your session as usual.
Monitor the Waiting room to see who has joined.
Manually admit attendees into the session as they arrive.
