How waitlists work

A waitlist is a system that activates automatically when a session becomes fully booked. It allows additional attendees who have not booked to join a fully booked session if spots open up.

When a session reaches full capacity, all booked attendees are automatically granted access. Only those on the waitlist will need to be manually admitted to the session.

When the session starts, the host will receive notifications in the waitlist panel with a list of users interested in joining. The host can then manually admit waitlisted attendees.

As a rule of thumb, you should admit waitlisted individuals only if not all registered attendees arrive. We suggest allowing a 3 to 5-minute grace period for those who have booked.

Additional information

  • Booked attendees who enter and leave a session can rejoin without needing to join the waitlist. If a waitlisted member is admitted during this time and a booked attendee re-enters, the session may exceed its capacity.

  • The waitlist remains active for the entire session, even after it starts and is fully booked.

  • Waitlists only apply to custom-created sessions and do not apply to featured focus sessions.

  • If you have selected the waiting rooms feature (see below for more information) in the session creation menu, you must manually admit all users, including those who have booked.

For Attendees:

If you try to join a fully booked session, you will see a notification confirming that you’ve been added to the waitlist.

Remain on the waitlist until the session starts. If a spot becomes available and the host admits you, you’ll be notified and granted access to the session. You won't be admitted if no spots open up, but you can look for and book another session instead.


What is a waiting room?

A waiting room is a system that allows the session host to completely control who can join the session, regardless of whether attendees have pre-booked. Waiting rooms are available as a feature only for custom-created sessions and can be added in the guest permissions section of the custom session builder.

How It Works

The waiting room is active from the start of the session, whether the session is fully booked or not. All attendees, whether pre-booked or not, are placed in the waiting room when they arrive. The host is responsible for manually admitting them into the session.

How to Use the Waiting Room

  1. Start your session as usual.

  2. Monitor the waiting room to see who has joined.

  3. Manually admit attendees into the session as they arrive.
